About the Role
Do you enjoy guiding employees through important life moments while keeping processes running smoothly? As our LOA (Leave of Absence) Specialist, you’ll oversee the entire leave process from initial request to return-to-work, ensuring a seamless experience for employees while maintaining compliance.
This role requires attention to detail, strong analytical skills, and the ability to navigate complexities in leave management. You’ll work with employees, staying on top of federal, state, and local leave laws and company policies. What You’ll Do – End-to-End Leave Management
- Intake & Leave Processing:
- Serve as the primary point of contact for leave inquiries, providing guidance on eligibility, available options, and required documentation.
- Process leave requests for FMLA, ADA, state and local statutory leave, parental leave, military leave, personal leave, and more.
- Manage intermittent leave schedules, ensuring compliance with tracking and reporting requirements.
- Review and validate medical certifications and supporting documents for accuracy and completeness.
- Track and monitor leave balances, approvals, and return-to-work date
- Compliance & Policy Adherence:
- Ensure all leave decisions align with FMLA, ADA, USERRA, state disability/PFML, and other applicable laws.
- Maintain accurate records and documentation to ensure compliance and audit readiness.
- Partner with HR and Legal teams to navigate complex leave cases and accommodations.
- Employee & Manager Support:
- Provide clear, timely communication to employees and managers throughout the leave process.
- Collaborate with payroll and benefits teams to ensure proper pay, benefits continuation, and deductions during leave periods.
- Return-to-Work & Accommodations:
- Manage return-to-work process, confirming return dates and coordinating necessary accommodations.
- Work with HR and Legal teams to facilitate ADA accommodations when applicable.
- Reporting & Process Improvement:
- Generate and analyze leave reports to track trends, compliance risks, and opportunities for improvement.
- Identify ways to enhance efficiency in leave administration while maintaining compliance and employee experience.
What You Bring to the Table
- 3-5+ years of experience in leave administration, preferably with multi-state leave experience.
- Strong knowledge of FMLA, ADA, state-specific leave laws, and disability accommodations.
- Excellent written and verbal communication skills—you’ll be working with employees, managers, and cross-functional teams.
- Strong collaboration skills—able to partner effectively with HR, Benefits, Payroll, and Legal teams.
- Attention to detail and analytical skills to assess leave requests and manage compliance.
- Ability to navigate nuances in leave management and work through complex situations with confidence.
Bonus Points If You:
- Have experience in construction, engineering, or manufacturing industries.
- Hold an HR or benefits certification (SHRM-CP, PHR, CBP).
- Enjoy improving processes and making leave administration more efficient.
