Capital Project Billing Specialist - Therma
Full time, in-office position. Remote and hybrid option not available.
Therma has an immediate need for a Capital Project Billing Specialist located in San Jose, CA. The Capital Project Billing Specialist will be responsible for working with Project Team and Project Managers to produce various monthly billings.
Job Summary:
This position is responsible for managing the billing process for our capital projects, ensuring accurate and timely invoicing, compliance with contract terms, and effective communication with clients, project managers, and accounting teams. This role requires attention to detail, strong organizational skills, and understanding of construction billing practices, including AIA billing, process billing, and lien waivers.
Essential Duties and Responsibilities:
- Prepare Monthly project billings by billing dates. (10th, 15th, 20th, 25th, and End of the Month).
- Generate and submit invoices based on project contracts, change orders, and work completed for Lump Sum, GMP, and T&M invoices.
- Ensure invoices are accurate, compliant with contract terms and submitted on time.
- Produce customer billing packages including pay applications, schedules of values, affidavits and waivers.
- Submit invoices via customer online portal or by email in a timely, efficient and accurate manner.
- Research and communicate with project managers, clients, and the accounting team regarding billing issues.
- Work within a team to satisfy customer specific requirements.
- Provide report related to billing status for any open issues.
- Archive billing history to our accounting system.
- Support Project Group Management and Executives as needed.
Qualifications:
- Advanced MS Excel skills a must.
- Bachelor's degree with a concentration in Accounting or Finance preferred.
- Construction Billing experience is desirable.
- Detail oriented and highly organized.
- Exceptional critical thinking skills.
- Occasional overtime to meet billing deadlines.
- Strong organizational skills, problem-solving skills, attention to detail, and ability to multi-task.
- Able to work on multiple projects with accuracy and efficiency, while keeping to deadlines.
- Good communication Skills – Verbal and written. Be able to communicate effectively with project managers, customer, and co-workers.
